About the Role

The Accounts Administrator will be instrumental in several core financial functions. A significant part of the role involves managing the company's banking administration. This includes maintaining the banking matrices, ensuring user access, signatories, and authorisation structures are up-to-date and coordinated between Legal and Finance departments. Onboarding new bank users, processing amendments, and managing offboarding procedures, complete with necessary forms and organised user access schedules, will be part of daily tasks. The administrator will also be responsible for keeping meticulous records of all bank account structures, user access permissions, and associated documentation across various banking platforms.

Furthermore, the role encompasses asset and insurance administration. This involves maintaining accurate insurance schedules for all company-insured assets, ensuring their completeness and alignment with the fixed asset register. Collaboration with the IT and accounting teams will be required to guarantee that insured items are correctly reflected and updated. Support for ongoing insurance administration and documentation needs is also expected. Working alongside the Senior Accountant, the administrator will assist in maintaining the accuracy and integrity of the fixed asset register.

Key Responsibilities

The responsibilities of the Accounts Administrator are diverse, requiring a well-organised and proactive approach. Key duties include:

  • **Financial Record Maintenance:**
  • Maintaining an organised electronic filing system for all finance-related documentation, ensuring consistent naming conventions and version control.
  • Ensuring all financial documents are securely stored, updated, and easily accessible for audit, compliance, and operational requirements.
  • Assisting with the preparation of supporting documentation and administrative schedules needed for BEE verifications.
  • **Debtors Management:**
  • Conducting routine follow-ups with debtors and issuing reminders in line with established collection processes.
  • Administering merchant debit orders, including monitoring their status and following up on any discrepancies.
  • Accurately and promptly allocating debtor receipts within the cash book.
  • Managing the debtors inbox, ensuring queries are appropriately routed, maintained, and escalated when necessary.
  • Responding to straightforward debtor queries and escalating more complex issues to the appropriate accounting personnel.
  • **Creditors and Invoice Processing:**
  • Managing the accounts inbox, ensuring effective routing of communications, timely follow-ups, and maintaining inbox hygiene.
  • Responding to routine creditor queries and escalating complex matters to the relevant accountants.
  • Processing supplier invoices by uploading them into the designated system (Precoro) according to established procedures.
  • Processing credit card receipts and employee expense claims through the Dext system.
  • Following up on outstanding invoices, receipts, and approvals to ensure timely processing.
  • Coordinating the onboarding documentation for new suppliers, including collecting necessary forms and bank confirmation letters.
