Job Description

Old Mutual, a prominent financial services organisation deeply invested in the African continent, is seeking a dedicated and efficient Assistant Business Support Administrator to strengthen its Group Functions team in Johannesburg. This vital role acts as a cornerstone for operational smooth sailing, blending executive assistance, financial oversight, and the coordination of IT functions. The ideal candidate will be a proactive problem-solver with a keen eye for detail and the ability to manage multiple priorities in a dynamic environment.

About the Role

This position is designed for an individual who thrives on providing comprehensive administrative support and is adept at anticipating needs. You will be instrumental in ensuring the Group Functions team operates seamlessly, enabling senior management to focus on strategic objectives. The role requires a high degree of organisation, meticulousness, and the capacity to handle diverse administrative tasks with confidence and independence. It's an opportunity to contribute to the operational backbone of a significant business unit within a respected South African brand.

Key Responsibilities

Your responsibilities will span a wide array of critical administrative functions. You will be the go-to person for office infrastructure, ensuring equipment is maintained and supplies are replenished. A robust filing system, both physical and digital, will fall under your purview.

A significant aspect of your role will involve providing direct executive support. This includes meticulously managing calendars, scheduling meetings, and preparing necessary documentation to ensure executives are fully briefed. You'll also be responsible for drafting correspondence, compiling reports, and taking minutes for important meetings.

Travel coordination, both local and international, will be a key task. This involves not just booking flights and accommodation but also managing itineraries, processing visas, and handling foreign exchange requirements. Furthermore, you will play a part in organising departmental functions, including venue selection and catering arrangements.

Financial administration duties will include managing supplier invoices, ensuring they are processed and signed off correctly, and potentially overseeing parts of a budget. Maintaining the confidentiality of sensitive information is paramount.

In terms of stakeholder and new hire coordination, you will be involved in the procurement of assets for new employees, arranging necessary access, and providing essential documentation. Your role will also involve directing queries and escalations to the appropriate individuals within the executive team and providing logistical support to external vendors.

What They're Looking For

To be considered for this role, you will need a Grade 12 certificate and a three-year tertiary qualification in Business Administration or equivalent practical experience. A minimum of four years of relevant administrative experience is essential, demonstrating your capability to handle the demands of this position.

We are looking for candidates who possess strong proficiency in Microsoft Office Suite and ideally have some technical understanding relevant to the operational area. Experience in budget management is a significant advantage.

**Key skills and attributes include:**

  • **Exceptional Organisational Skills:** The ability to manage complex schedules, multiple tasks, and information flow efficiently.
  • **Attention to Detail:** Meticulousness in all aspects of your work, from document preparation to financial record-keeping.
  • **Deadline Orientation:** A proven track record of meeting deadlines, even under pressure.
  • **Prioritisation Ability:** The skill to distinguish between urgent and important tasks and manage your workload accordingly.
  • **Excellent Communication and Interpersonal Skills:** The capacity to interact professionally and effectively with colleagues, executives, and external parties.
  • **Proactive Problem-Solving:** The initiative to identify potential issues and implement solutions before they escalate.
  • **Resilience Under Pressure:** The ability to maintain performance and composure in demanding situations.
  • **Independence and Ownership:** A high level of self-reliance, capable of managing an office environment with minimal supervision for extended periods.
  • **Stakeholder Management:** Proven experience in working effectively with senior individuals and diverse stakeholders.

In South Africa, roles like this, involving executive and operational support within a large corporate, can often lead to career progression into more specialised administrative or operational management positions.
