If you're a recent graduate with a keen eye for detail and a desire to build a career in HR and payroll, this could be the perfect stepping stone. You'll be immersed in the daily operations of a busy payroll department, gaining practical experience across a range of essential functions.

About the Role

This internship is designed to provide comprehensive, hands-on training over a two-semester period. You'll start by focusing on foundational administrative tasks and employee record management, progressing to more complex duties such as data capturing and processing payroll-related documentation. The programme is structured to ensure you develop a well-rounded understanding of the payroll cycle and the critical role it plays within a large organisation. You will be expected to work effectively within a diverse team, managing your workload efficiently, prioritising tasks, and maintaining composure under pressure. A strong emphasis is placed on maintaining accuracy and ensuring all processes are followed diligently.

Key Responsibilities

Your responsibilities will evolve throughout the internship. During the initial semester, your duties will include:

  • Facilitating the induction process for new employees.
  • Managing the payroll counter and handling related queries.
  • Attending to and managing the payroll telephone line.
  • Processing the termination of employee records for resignations, including finalising resignation packs.
  • Updating and maintaining employee records with accuracy and efficiency.
  • Performing general administrative duties as required to support the department.

As you move into the second semester, your responsibilities will expand to include:

  • Scanning and meticulously filing important payroll and HR documents.
  • Conducting quality checks on documentation received from HR and other departments.
  • Checking and signing off on documents, ensuring compliance and accuracy.
  • Capturing staff information accurately into payroll systems.
  • Continuing to update and maintain employee records.
  • Assisting with the creation of payroll import files.
  • Processing UIF (Unemployment Insurance Fund) application forms and handling associated communication.
  • Undertaking ad hoc payroll duties as assigned.
  • Continuing to perform general administrative tasks.

What They're Looking For

OUTsurance is seeking candidates who are not only academically qualified but also possess the right attitude and interpersonal skills. You should be adept at working collaboratively within a team environment and comfortable communicating effectively. A high level of attention to detail is paramount, as is a commitment to delivering quality work. Good time-management skills are essential for juggling multiple responsibilities, and strong administrative capabilities will be a significant asset.

To be considered for this INSETA-supported internship programme, you must meet the following specific criteria:

  • Be a South African citizen.
  • Have not previously participated in an internship or learnership facilitated by INSETA.
  • Be between the ages of 18 and 35 years old.
  • Have been unemployed for at least the last two months.

Academically, you should possess a minimum of a BA in Business Administration, a BCom in Human Resources, or a similar relevant degree. While not strictly required, advanced proficiency in MS Office, particularly MS Excel, would be advantageous. Any prior exposure to a payroll environment would also be a strong benefit. In line with OUTsurance's commitment to Employment Equity, preference will be given to candidates from designated groups who meet the job requirements.
