About the Role
The Project Coordinator will provide comprehensive support across multiple projects and programmes, assisting Project Managers, Programme Managers, and PMO teams in achieving their objectives and milestones. This role demands exceptional organisational and communication skills to ensure that project activities are well-coordinated and that all parties are kept informed. You'll be instrumental in maintaining the momentum of projects by managing logistics, documentation, and stakeholder engagement. This is a hands-on position where you'll contribute directly to the success of critical initiatives within the bank.
Key Responsibilities
Your responsibilities will be diverse and central to effective project delivery:
- **Coordination and Administration:** You will offer end-to-end project coordination and administrative support, managing various project-related tasks.
- **Meeting Management:** This includes coordinating project meetings, workshops, governance forums, and stakeholder engagements. You'll be responsible for preparing agendas, taking accurate minutes, and diligently tracking action items to completion.
- **Logistical Support:** Arranging travel, booking venues, managing diaries, and handling other logistical requirements for project activities will be part of your remit.
- **Documentation and Reporting:** You'll prepare essential project documentation, including presentations, status reports, and governance materials. Maintaining project documentation in systems like Confluence, ensuring adherence to governance and taxonomy standards, will be key.
- **Risk and Issue Management:** You will monitor and maintain project registers for risks, issues, decisions, and changes, contributing to proactive problem-solving.
- **Governance and Compliance:** Assisting with governance assurance activities and ensuring compliance with the Business Delivery Lifecycle (BDLC) framework and minimum control requirements are vital. This also extends to supporting audit activities and exception reporting.
- **Progress Tracking:** Monitoring project progress and updating project management systems with accurate information will be a daily task.
- **Financial Support:** You'll assist with coordinating project financial information and support cost tracking and reporting activities.
- **Quality Assurance:** Reviewing project deliverables and documentation to ensure they meet quality and governance standards.
- **Process Improvement:** Contributing to process mapping, documentation, and continuous improvement initiatives.
- **Relationship Building:** Cultivating productive working relationships with colleagues and stakeholders is crucial for successful project delivery.
What We're Looking For
To excel in this role, you'll need a solid foundation in project coordination and a proactive approach to your work.
- **Qualifications and Experience:** A Grade 12 matric certificate is a minimum requirement. A Bachelor's degree in Project Management, Business Administration, Commerce, Information Systems, or a related field is preferred. We are looking for candidates with 3-5 years of experience in a Project Coordinator, Project Administrator, or similar PMO support role. Prior experience in a structured project or PMO environment, supporting governance, reporting, and administrative functions, is essential. The ability to manage multiple stakeholders and project activities concurrently is also vital.
- **Technical Skills:** Advanced proficiency in Microsoft Office, particularly Excel and PowerPoint, is necessary. Experience with tools like Jira and Confluence would be a significant advantage. You should possess a good understanding of project governance frameworks, PMO support practices, and project lifecycle methodologies. Experience maintaining project registers and a grasp of project financial administration principles are also important.

Qualifications:
