Job Description

Old Mutual is currently seeking a proactive and organised professional to join their team in Johannesburg as an Assistant Facilities Manager. This position is central to the organisation’s ability to maintain a productive and safe work environment, acting as a bridge between the business's daily needs and the operational delivery of service partners. The role is designed for someone who can manage complex moving parts, ensure strict compliance, and drive operational efficiency across company properties.

About the role

In this capacity, you will take ownership of the day-to-day coordination of facilities operations. Your primary objective is to ensure that all business premises function smoothly, safely, and cost-effectively. You will be responsible for overseeing external service providers, ensuring that their delivery meets agreed-upon service level agreements (SLAs) and that all contractual obligations are honoured.

The role requires a high degree of independence and a detail-oriented mindset. You will not only oversee physical maintenance but also act as a data-driven partner to the business, producing management reports that track expenditure and highlight areas for improvement. By balancing stakeholder needs with operational rigour, you will play a key part in maintaining the high standards expected at a major financial services firm.

Key Responsibilities

Your daily responsibilities will revolve around vendor management, site safety, and internal communication. You will need to maintain a constant feedback loop with both internal staff and external contractors to ensure that any facility-related disruptions are minimised. Key focus areas include:

  • **Vendor Governance:** Monitoring the performance of third-party service providers to ensure quality, compliance, and cost-efficiency.
  • **Operational Oversight:** Coordinating facility maintenance and ensuring all environmental, health, and safety standards are fully met.
  • **Performance Reporting:** Analysing operational data to identify trends, tracking costs, and preparing reports that inform management decision-making.
  • **Stakeholder Engagement:** Building strong relationships with internal teams to understand their workspace needs and addressing concerns proactively.
  • **Continuous Improvement:** Proactively identifying gaps in service delivery and recommending workflows or procedural changes to increase efficiency.

What they're looking for

Old Mutual requires a candidate who combines technical facilities knowledge with strong professional soft skills. You should be comfortable working with minimal supervision and possess the ability to resolve operational issues under pressure.

  • **Qualifications:** A relevant tertiary qualification in Facilities Management, Business Administration, or a closely related field is essential, in addition to a Matric certificate.
  • **Experience:** You should have at least 3 to 5 years of experience in general facilities management, specifically regarding contract oversight and vendor management. A minimum of 3 years of experience in stakeholder management is also required.
  • **Technical Skills:** Proficiency in reporting and compliance, with an analytical mindset capable of translating performance data into actionable insights.
  • **Core Competencies:** Strong communication skills, an ability to manage multiple priorities simultaneously, and a solutions-oriented approach to problem-solving.

In the South African corporate landscape, Assistant Facilities Managers at large financial institutions like Old Mutual often enjoy stable career paths with significant exposure to large-scale infrastructure and vendor management systems. This role is a great stepping stone for those looking to move into senior property management or operational leadership roles. Salaries for this level of experience in Johannesburg typically align with market-related corporate standards, often complemented by performance-based incentives and comprehensive benefits packages typical of the South African financial sector. Candidates should be aware that this role falls under the company’s Employment Equity Plan, which will be a factor in the selection process.
