About the Role
The Fiduciary Specialist Assistant plays a vital support function within a dynamic financial services environment. You will be instrumental in maintaining the operational backbone that allows the fiduciary team to function at its best. This involves a multifaceted approach, encompassing client interaction, meticulous administration, and contributing to the sales and retention efforts of the department. A key aspect of the role is ensuring that all processes are executed with a high degree of accuracy and in strict accordance with regulatory requirements, including those pertaining to the Master of the High Court and SARS. You'll also be expected to understand and apply knowledge of relevant legislation such as FAIS, FICA, and the Trust Property Control Act.
Key Responsibilities
Your day-to-day responsibilities will be diverse and demanding, requiring a proactive and organised approach. Key duties include:
- **Client Service and Stakeholder Management:**
- Delivering exceptional client service by offering proactive, innovative, and appropriate solutions that go beyond expectations.
- Cultivating and maintaining robust working relationships with both internal stakeholders, such as subject matter experts, advisors, and managers, and external clients.
- Ensuring professional and prompt communication with clients regarding any outstanding information or updates on their processes.
- **Operational and Administrative Support:**
- Providing comprehensive end-to-end administrative support to the fiduciary team, which includes preparing documents, capturing data, and diligently tracking cases.
- Effectively managing diaries and ensuring all follow-up actions are completed without delay.
- Proactively chasing outstanding client documentation to guarantee the completeness and accuracy of client records.
- Assisting with the crucial processes of onboarding new clients and managing existing client fiduciary services.
- **Sales Support and Client Retention:**
- Offering vital sales support to Fiduciary Specialists to boost efficiencies and foster client loyalty.
- Contributing to the preparation of client proposals, reports, and other necessary documentation.
- Facilitating a seamless client journey by ensuring operational excellence at every interaction point.
- **Compliance and Regulatory Support:**
- Supporting adherence to SARS requirements, including managing tax-related documentation and submissions, and liaising on outstanding tax matters as needed.
- Assisting with processes involving the Master of the High Court, such as lodging and tracking trust documentation, and ensuring all submitted documents meet statutory standards.

To be successful in this role, you will need a solid foundation in financial services administration and a keen eye for detail. The ideal candidate will possess:
- **Qualifications:** A relevant qualification in Finance, Investment Management, Law, or Commerce is preferred, ideally at a diploma or degree level.
- **Experience:** A minimum of three years of experience is required, preferably within fiduciary services, trust administration, wealth management, investments, or a similar financial services administrative support capacity. Previous exposure to client servicing within a regulated environment is essential.
- **Knowledge:** A fundamental understanding of trust structures and fiduciary services, financial and investment products, and the regulatory landscape (including FAIS, FICA, and the Trust Property Control Act) is necessary.
- **Skills and Competencies:**
- Exceptional administrative capabilities with a strong focus on detail and accuracy.
- Excellent organisational skills, including proficient diary management.
- Strong stakeholder engagement and communication abilities.
- A proactive and solutions-oriented mindset for problem-solving.
- The capacity to work effectively under pressure and meet strict deadlines.
Previous exposure to trust processes and experience supporting high-net-worth or private clients would be advantageous. Advanced knowledge of regulatory frameworks and proficiency in financial systems and reporting tools are also preferred.
