Job Description

The Law Offices of Sabrina Li, a distinguished U.S. immigration law firm, is looking for a technologically adept and forward-thinking HR Operations Specialist to join their remote team. This role is crucial in ensuring the seamless day-to-day functioning of the Human Resources department, with a particular emphasis on leveraging modern technology, including AI and automation, to enhance HR processes. The successful candidate will collaborate closely with firm leadership to refine and optimise operational efficiency within the HR function.

About the Role

This position offers a unique opportunity to be at the forefront of HR innovation within a reputable legal practice. You will be instrumental in supporting a comprehensive range of HR activities, from the initial recruitment stages right through to ongoing employee development. The role demands a proactive individual who can not only manage existing processes but also identify and implement improvements, making the HR department more agile and effective. As a remote employee, you'll be expected to maintain strong communication and a high level of self-discipline.

Key Responsibilities

The HR Operations Specialist will undertake a variety of tasks essential to the smooth running of the HR department. Your responsibilities will include:

  • **Onboarding Excellence:** Guiding new hires through the onboarding process, ensuring they are proficient with the firm's technology stack and integrated into the company culture within their first week.
  • **Compliance Management:** Conducting audits of HR documentation, processes, and compliance requirements. This involves diligently tracking and following up on outstanding documentation, certifications, training, and policy acknowledgements for both employees and managers.
  • **Record Keeping:** Maintaining the accuracy and integrity of all HR records within the firm's HRIS platform, such as Rippling, and other relevant systems.
  • **Recruitment Support:** Assisting in the sourcing of candidates for open positions. This may involve direct outreach and headhunting for specialised roles where standard recruitment channels prove insufficient. You will also help manage candidate pipelines and provide timely status updates to hiring managers.
  • **Pre-Employment Checks:** Facilitating background checks, reference verifications, and credential assessments to ensure the suitability of candidates.
  • **Learning and Development:** Contributing to the maintenance and enhancement of the firm's training curriculum, onboarding materials, and other learning resources.
  • **Process Improvement:** Actively identifying opportunities to streamline HR workflows by implementing automation solutions and AI-powered tools, thereby increasing efficiency and reducing manual effort.

What They're Looking For

To excel in this role, candidates should possess a strong blend of HR operational experience and technological aptitude. The ideal applicant will have:

  • A Bachelor's degree in Psychology, Human Resources, Business Administration, Management, or a closely related field.
  • A high level of tech-savviness, demonstrating an ability to quickly learn and adapt to new software, systems, and digital platforms.
  • Excellent command of written and spoken English, coupled with strong, proactive communication skills. You should be comfortable raising concerns, asking clarifying questions, and pursuing follow-ups independently.
  • A minimum of two years of experience in HR operations, specifically within a U.S.-based organisation.
  • Prior experience with HRIS platforms, such as Rippling, and project management tools like monday.com.
  • A meticulous attention to detail and a proven ability to effectively manage multiple priorities simultaneously.

In South Africa, HR Operations Specialists often find employment in larger corporations, professional services firms, and organisations with a significant administrative function. The compensation for such roles can vary widely based on experience and the specific industry, but a mid-level HR Operations Specialist might expect a salary ranging from R35,000 to R55,000 per month. Career progression typically involves moving into more senior HR generalist roles, specialising in areas like Talent Acquisition or Compensation and Benefits, or managing broader HR functions.

Requirements

  • Bachelor's degree in Psychology, Human Resources, Business Administration, Management, or a related field (required).
  • Tech-savvy, with the ability to quickly learn and adapt to new tools, systems, and platforms (required).
  • Excellent written and spoken English with strong, proactive communication skills — comfortable flagging issues, asking questions, and following up without being prompted (required).
  • Minimum of 2 years of experience in HR operations for a U.S.-based company (required).
  • Experience using monday.com and HRIS platforms such as Rippling (required).
  • Strong attention to detail and ability to manage multiple priorities.
