Based in Johannesburg, the successful candidate will be instrumental in establishing and optimising processes for trust administration in offshore jurisdictions. About the Role

As a Team Leader Administration, your primary focus will be on overseeing the daily operations of a team of administrators dedicated to managing trust structures. You will ensure that all tasks are executed efficiently, resources are utilised optimally, and a seamless workflow is maintained to meet stringent operational objectives and quality standards. This involves a deep dive into the intricacies of trust administration, including compliance with relevant legislation, regulatory requirements, and internal governance protocols. The role demands a proactive approach to quality control and risk oversight, ensuring the integrity of trust records and documentation.

Key Responsibilities

The responsibilities are diverse and critical to the successful functioning of the trust administration team:

  • **Team Leadership and Oversight:** Supervise and guide a team of administrators, fostering a high-performance culture focused on accuracy and efficiency.
  • **Trust Structure Administration:** Manage trust administration tasks on behalf of trustees, particularly within offshore jurisdictions. This includes handling distributions, loan repayments, and fee processing as per trustee instructions.
  • **Relationship Management:** Cultivate and maintain professional relationships with offshore trustees, acting as a key point of contact and delivering service that consistently exceeds expectations through innovative and appropriate solutions.
  • **Compliance and Governance:** Ensure adherence to relevant foreign trust legislation, regulatory requirements, and fiduciary obligations. This involves supporting compliance reviews and providing operational support to trustees to help them effectively manage trusts in foreign jurisdictions.
  • **Record Keeping and Documentation:** Accurately manage client records and documents. This includes preparing trustee resolutions, minutes, and other essential trust-related documentation.
  • **Financial Administration Support:** Assist in preparing and collating information for the opening, maintenance, and review of trust bank and investment accounts.
  • **Due Diligence and Monitoring:** Support client due diligence processes and ongoing monitoring in line with Anti-Money Laundering (AML) standards. Track statutory filing deadlines and reporting obligations in foreign jurisdictions.
  • **Liaison and Collaboration:** Liaise with compliance teams, external fiduciary service providers, and other relevant parties as needed.
  • **Risk Management:** Identify and escalate administrative, compliance, or operational risks to the trustee, ensuring prompt resolution.
  • **Policy Adherence:** Ensure strict adherence to internal policies, procedures, and service level standards.

What They're Looking For

To excel in this role, you should possess a solid foundation in trust administration and leadership:

  • **Experience:** A minimum of five years of experience in trust administration is required, ideally within the fiduciary industry.
  • **Qualifications:** A relevant qualification in Fiduciary Industries or Legal studies is highly desirable.
  • **Technical Expertise:** A strong technical understanding of offshore trust administration is essential. This includes familiarity with onboarding processes, terminations, and understanding Place of Effective Management (POEM).
  • **Organisational Skills:** Exceptional organisational abilities are paramount for managing multiple tasks and deadlines effectively.
  • **Financial Acumen:** Good accounting skills are necessary for managing financial aspects of trust administration.
  • **Client Service Orientation:** A proven track record of providing fantastic client service, demonstrating a commitment to exceeding expectations.
  • **Adaptability and Curiosity:** The ability to adapt to changing environments and a curious mindset are crucial for thriving in a dynamic team and for developing new processes.
  • **Analytical Skills:** The capacity to analyse complex data sets to inform decision-making.
  • **Teamwork:** A collaborative spirit and the ability to thrive in a team-oriented setting.

  • 5 yrs + trust administration experience, with a Fiduciary industry related or Legal qualification
